Terms & Conditions

1. About These Terms

These Terms & Conditions govern every booking made with Baron Luxury Tours, a tour operator based in Dubai, United Arab Emirates and operating since 1993. They apply to all tours, packages, and travel services we sell, whether booked through our website, by WhatsApp, by phone, or in person. By paying a deposit or any amount toward a booking, you confirm that you have read, understood, and accepted these terms on behalf of yourself and everyone in your booking party.

If you booked through a third party, the terms of that third party may also apply. In the case of any conflict, the terms most protective of the traveler will be interpreted by the relevant authority in accordance with UAE law.

2. Definitions

In these terms, “Baron”, “we”, “us”, and “our” refer to Baron Luxury Tours. “You”, “your”, and “traveler” refer to the person who makes the booking and any person named on the booking. “Tour” means any travel product we offer, including multi-day group tours, cruises, custom itineraries, honeymoon packages, and family packages. “Supplier” means any third-party we contract with on your behalf, including hotels, transport providers, airlines, attractions, and local guides.

3. Booking Process

A booking is made when you confirm your intention to travel and pay the required deposit. Until we have received your deposit and issued a written booking confirmation by WhatsApp, no booking exists, no seat is held, and pricing remains subject to availability.

You are responsible for ensuring all personal details on the booking, including the correct spelling of names as they appear on passports, are accurate. We are not liable for refused boarding, denied entry, or extra fees caused by errors you did not flag before tickets were issued.

4. Pricing, Deposits & Payment

All prices on our website and in our quotes are per person in a double room unless otherwise stated. A single supplement applies for solo travelers and is listed for every tour. Prices are quoted in Euros (€) and may also be shown in AED for convenience. The amount payable is determined by the currency listed on your written confirmation.

A deposit of 25% of the total tour price is due at the time of booking. The remaining balance is due no later than 60 days before the departure date. For bookings made within 60 days of departure, full payment is required at the time of booking. We accept bank transfer and major credit/debit cards. Card-processing fees, if any, are passed through at cost.

We reserve the right to release any booking on which payment has not been received by the due date, in which case the deposit is forfeit and the booking is treated as cancelled by the traveler under section 5 below.

5. Cancellation by You

You may cancel a booking at any time by written notice to us on WhatsApp. The date of cancellation is the date we receive your notice. The following cancellation charges apply, calculated against the total tour price of every traveler being cancelled:

  • More than 90 days before departure: deposit only (non-refundable).
  • 60 to 90 days before departure: 25% of the total tour price.
  • 30 to 59 days before departure: 50% of the total tour price.
  • 15 to 29 days before departure: 75% of the total tour price.
  • Less than 15 days before departure, or no-show: 100% of the total tour price.

Some suppliers (notably cruise lines and certain hotels) operate stricter cancellation rules. Where supplier rules apply, they will be disclosed to you in writing at the time of booking and will override the schedule above for the components they cover.

6. Cancellation by Us

We reserve the right to cancel any tour before departure if the minimum number of participants is not reached, if a supplier withdraws a service we cannot reasonably replace, or for any reason outside our control. If we cancel a tour, you may choose between (a) a full refund of all monies paid to us, or (b) an equivalent alternative tour, with any price difference credited or collected accordingly.

Beyond the refund or alternative tour, we accept no further liability for incidental losses such as international flights booked separately, visa fees, time taken off work, or accommodation booked before or after the tour. We strongly recommend that international flights be booked with flexible or refundable fares, or that travel insurance be purchased to cover such risks.

7. Itinerary Changes

We may need to change a published itinerary because of weather, road or border conditions, supplier availability, or other operational reasons. Where changes are minor (such as a different hotel of equivalent standard, a change in the order of sightseeing visits, or a substitution of an attraction), we will make the change without notice and without obligation to compensate.

Where a change is significant (such as the cancellation of an entire night in a destination, the substitution of a destination, or a delay of more than 24 hours to the start of the tour), we will offer you the option to accept the revised itinerary, transfer to another tour, or cancel the booking with a full refund of monies paid to us.

8. Force Majeure

We are not liable for any failure to perform our obligations caused by events beyond our reasonable control, including but not limited to war, terrorism, civil unrest, strikes, natural disasters, pandemic-related restrictions, government action, airspace closures, technical airline failures, and extreme weather. In such events, refunds are subject to what we can recover from suppliers on your behalf and the cancellation rules of those suppliers.

9. Travel Documents, Visas & Entry Requirements

You are solely responsible for ensuring that you hold a valid passport with at least six months validity beyond your return date, the required visas for every country on the itinerary, and any vaccination or health documentation those countries require. We can advise on common requirements for our routes, but the final responsibility is yours.

We are not liable for any costs, missed transport, or curtailed travel arising from inadequate documentation, refused boarding, or refused entry by any authority. No refund is available where a traveler cannot join or continue a tour because of a documentation issue.

10. Travel Insurance

We strongly recommend that every traveler purchase comprehensive travel insurance covering medical expenses, repatriation, trip cancellation, trip curtailment, baggage, and personal liability. For some tours (notably the South American Adventure and the Baltic Capitals Cruise), proof of travel insurance is a condition of joining the tour and may be requested at check-in.

Where travel insurance is included in the package price, the inclusions and exclusions of that policy will be provided with your booking confirmation. It is your responsibility to read the policy, understand its scope, and arrange supplementary coverage if needed.

11. Health & Medical Requirements

You must inform us at the time of booking of any medical condition, mobility limitation, dietary requirement, or special need that may affect your participation in the tour. We will make reasonable efforts to accommodate such requirements but cannot guarantee that all itineraries are suitable for every traveler. Some destinations involve walking on uneven surfaces, climbing stairs, or extended coach travel.

We may refuse to accept or continue a booking for any traveler whose physical or mental condition, in our reasonable judgment, renders them unfit for travel or likely to endanger themselves or others. In such cases the cancellation schedule in section 5 applies.

12. Group Minimums & Single Supplements

Our scheduled group tours require a minimum number of participants to operate, typically 10 travelers. If a tour does not reach this minimum, we will notify you no later than 30 days before departure and offer either a full refund or a transfer to an alternative tour.

Single travelers pay a single supplement to occupy a room alone. The single supplement amount is listed on every tour and is non-negotiable. Where two single travelers agree in advance to share a twin room, the single supplement may be waived at our discretion.

13. Children's Policy

Children under 12 years of age sharing a room with two paying adults are eligible for a 50% discount on the standard double-occupancy price. Children under 2 years of age travel free of charge but are not entitled to a seat on transport or a separate hotel bed. Children aged 12 and over pay the adult price.

All travelers under 18 must be accompanied by a parent or guardian who accepts full responsibility for their behavior and safety throughout the tour.

14. Conduct on Tour

We expect every traveler to conduct themselves in a manner that does not cause distress, danger, or annoyance to other travelers, our staff, our suppliers, or members of the public. We reserve the right to terminate the tour of any traveler whose behavior is, in our reasonable judgment, disruptive, threatening, or in breach of local law. In such cases no refund is due and we are not responsible for any costs the traveler incurs to return home.

Captains, hotel managers, and local authorities have independent rights to refuse boarding or service to any traveler they deem unfit. We are not liable for losses arising from such decisions.

15. Property Damage & Liability

You are responsible for any damage caused by you or any member of your party to property belonging to us, our suppliers, or third parties during the tour. Where such damage occurs, we may seek payment directly from you or require payment on the spot.

16. Third-Party Services

We act as an agent for hotels, transport providers, airlines, cruise lines, attractions, and local operators. While we vet our suppliers carefully, we do not own or operate these services. Our liability for any failure of a supplier is limited to the price you paid us for that component, and is further limited by the international conventions applicable to that service (Athens Convention for cruises, Montreal Convention for air carriage, and so on).

17. Photography & Marketing Use

Photographs and video taken by our tour leaders during the tour may occasionally feature travelers in incidental fashion. By joining a tour you consent to such incidental capture and to its use in our marketing materials, including our website and social media. If you do not wish to appear in any marketing image, please notify your tour leader at the start of the tour and we will exclude you.

18. Complaints

If you experience a problem during the tour, please raise it immediately with your tour leader so we have the opportunity to put it right. Most issues are resolvable on the spot. If the matter cannot be resolved at the time, please notify us in writing within 28 days of the end of the tour so we can investigate. Complaints raised more than 28 days after the tour ends are unlikely to be actionable, as evidence and supplier records may no longer be available.

19. Limitation of Liability

Except where caused by our gross negligence or wilful misconduct, our maximum liability to you for any claim arising from a booking is limited to the total amount paid to us for that booking. We are not liable for indirect or consequential losses, including lost earnings, missed business opportunities, or emotional distress.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for any other liability that cannot be limited under UAE law.

20. Indemnity

You agree to indemnify us against all claims, losses, damages, costs and expenses (including reasonable legal fees) arising from your breach of these terms, your wilful or negligent act or omission during the tour, or any inaccurate information you provided to us at the time of booking.

21. Governing Law & Jurisdiction

These terms are governed by the laws of the United Arab Emirates. Any dispute arising from or connected to a booking shall be subject to the exclusive jurisdiction of the courts of Dubai, UAE.

22. Changes to These Terms

We may amend these Terms & Conditions from time to time. The terms in force on the date you make your booking are the terms that apply to that booking. We will publish the effective date at the top of this page and will archive previous versions on request.

These Terms & Conditions are provided in English. A binding Arabic translation may be issued by Baron Luxury Tours for travelers who request one. In case of conflict between language versions, the Arabic version prevails for travelers resident in the United Arab Emirates.
